This applies not only to email but also to social media profiles, forum accounts, and other online platforms.<\/p>\n<p>For instance, email addresses like <em>coco_candy46@ymail.com<\/em> or Twitter handles like <em>@greatbro7654<\/em> don\u2019t convey professionalism. They come across as unserious.<\/p>\n<figure> <img loading=\"lazy\" decoding=\"async\" src=\"https:\/\/assets.hongkiat.com\/uploads\/networking-for-bloggers\/professional.jpg\" width=\"500\" height=\"400\" alt=\"Professional email and social media profiles\"><\/figure>\n<p>It\u2019s easy to overlook the importance of a professional email or profile name, especially if you\u2019ve been using a particular one for a long time. I\u2019ve been there; my PayPal email is so casual that I hesitate to share it. Yet, I still haven\u2019t changed it, even though I know I should.<\/p>\n<p>Quick Tips:<\/p>\n<ul>\n<li>Avoid using email services like <em>Hotmail<\/em> or <em>Yahoo!<\/em>, or any other free email service that\u2019s popular in your country.<\/li>\n<li><em>Gmail<\/em> is generally acceptable, provided your username is professional.<\/li>\n<li>If possible, opt for an email with your own domain name. For example, my email is <em>kk[at]newinternetorder.com<\/em>.<\/li>\n<li>Keep it concise. A simple combination of your first and last name works well, like <em>firstname.lastname@domain.com<\/em>.<\/li>\n<li>Don\u2019t forget to include a signature in your emails and a brief bio in your social media profiles.<\/li>\n<\/ul>\n<p>Now that we\u2019ve covered the basics, let\u2019s dive into more advanced topics.<\/p>\n<h2>What Should Be the Ideal Length of an Email?<\/h2>\n<p>Let\u2019s face it: if your email is too lengthy, <strong>people won\u2019t be inclined to read it<\/strong>, unless you\u2019re already friends.<\/p>\n<p>The general guideline is to limit your email to <strong>no more than 5 sentences<\/strong>. While this may seem restrictive, it\u2019s for a good reason.<\/p>\n<p>An email longer than that becomes a <strong>burden to read<\/strong>, rather than a quick 30-second task. Nobody enjoys receiving burdensome tasks from others.<\/p>\n<p>The upside is that writing concise emails can actually improve your writing skills, which is always a valuable asset.<\/p>\n<p>By aiming for fewer than 6 sentences, you\u2019ll have just enough space for a brief introduction and the main point of your message. This structure makes your email easy to read and understand.<\/p>\n<p>It\u2019s harsh but true: people generally don\u2019t care about your life story, problems, or background. <strong>What matters is what you bring to the table<\/strong> and what you\u2019re seeking in return. Sometimes, not all these elements are even necessary.<\/p>\n<p>If you find that you need more room to express your thoughts, email may not be the right medium for you. In today\u2019s fast-paced world, emails are effective only when they\u2019re concise. I can\u2019t stress this enough, so I\u2019ll stop here. I\u2019m sure you get the point. :)<\/p>\n<h2>The Importance of Email Subject Lines<\/h2>\n<p>When emailing a friend, the subject line might not be crucial. However, for all other types of communication, the subject line is the <strong>most vital part of an email<\/strong>.<\/p>\n<p>It\u2019s easy to overlook the importance of a subject line. We often pour our energy into crafting the email body and then hastily add a subject line as an afterthought.<\/p>\n<p>The result? Our emails either land in the spam folder or go unnoticed altogether. If you feel ignored, remember that the fault often lies with us for not giving the subject line the attention it deserves.<\/p>\n<p>In a previous discussion, I outlined the key characteristics that make a subject line effective. To recap, they can be categorized as harmless, plain\/ordinary, personal, outrageous, or non-promotional.<\/p>\n<p>Let\u2019s delve into each category:<\/p>\n<h3>1. Harmless Subject Lines<\/h3>\n<p>While I don\u2019t have a formal definition, let\u2019s look at some examples to understand what a \u201charmless\u201d subject line is:<\/p>\n<ul>\n<li><em>\u201cJust wanted to say hi\u201d<\/em><\/li>\n<li><em>\u201cYou rock!\u201d<\/em><\/li>\n<li><em>\u201cJust wanted to say thanks\u201d<\/em><\/li>\n<\/ul>\n<p>Essentially, a harmless subject line gives the impression that there\u2019s no hidden agenda behind the email. That\u2019s why words like \u201c<em>congratulations<\/em>\u201d or \u201c<em>opportunity<\/em>\u201d are best avoided.<\/p>\n<p>Additionally, steer clear of words commonly found in spam emails. A good way to identify these is by checking your own spam folder.<\/p>\n<h3>2. Plain or Ordinary Subject Lines<\/h3>\n<p>In this category, the subject line straightforwardly states the reason for reaching out. Examples include:<\/p>\n<ul>\n<li>The \u201cJust wanted to \u2026\u201d examples from the previous section.<\/li>\n<li><em>\u201cAre you interested in a guest post?\u201d<\/em><\/li>\n<li><em>\u201cQuestion about your post on _____\u201d<\/em><\/li>\n<li><em>\u201cThanks for your input on _____\u201d<\/em><\/li>\n<\/ul>\n<p>This approach eliminates any confusion for the recipient. The purpose of your email is made crystal clear, which is essentially good copywriting.<\/p>\n<h3>3. Personal Subject Lines<\/h3>\n<p>Here, the subject line suggests a pre-existing personal relationship with the recipient. The key is to make it sound natural without trying too hard.<\/p>\n<p>If you don\u2019t have a basic personal relationship with the recipient, this approach is unlikely to be effective. Examples include:<\/p>\n<ul>\n<li><em>\u201cFollowing up on our last talk\u201d<\/em> \u2013 applicable if you\u2019ve had a previous conversation.<\/li>\n<li><em>\u201cHow\u2019s the _____ project going?\u201d<\/em> \u2013 relevant if you know the recipient is working on a specific project.<\/li>\n<li><em>\u201cI\u2019d like to buy you lunch during your visit to _____\u201d<\/em> \u2013 useful if you know the recipient will be in your area.<\/li>\n<\/ul>\n<h3>4. Outrageous<\/h3>\n<p>This is somewhat risky. Being outrageous means just that \u2013 being outrageous. An outrageous subject line is one where the recipient can\u2019t believe that someone has actually sent them such a thing.<\/p>\n<p>It\u2019s when the recipient says \u201cwhat?!\u201d or \u201cno way!\u201d or something similarly surprising. However, it\u2019s not about making anyone uncomfortable or angry, it\u2019s only about arousing some initial interest in the message.<\/p>\n<p>Examples:<\/p>\n<ul>\n<li><em>\u201cBad news\u201d<\/em><\/li>\n<li><em>\u201cI\u2019m with you!\u201d<\/em><\/li>\n<li><em>\u201cYou\u2019re wrong!\u201d<\/em><\/li>\n<\/ul>\n<p>Something along these lines. Crafting an outrageous subject line is often the most difficult thing. The challenge is that you want to create a bit of a shock, but you still want to get your email opened, not deleted.<\/p>\n<h3>4. Outrageous Subject Lines<\/h3>\n<p>Using an outrageous subject line is a risky strategy. The goal is to create a subject line so surprising that the recipient can\u2019t help but open the email.<\/p>\n<p>It\u2019s the kind of subject line that makes the recipient exclaim, \u201cWhat?!\u201d or \u201cNo way!\u201d The aim is not to offend or make anyone uncomfortable, but rather to pique initial interest.<\/p>\n<p>Examples include:<\/p>\n<ul>\n<li><em>\u201cBad news\u201d<\/em><\/li>\n<li><em>\u201cI\u2019m with you!\u201d<\/em><\/li>\n<li><em>\u201cYou\u2019re wrong!\u201d<\/em><\/li>\n<\/ul>\n<p>Crafting an outrageous subject line can be challenging. You want to create a shock factor, but you also want the email to be opened, not deleted.<\/p>\n<h3>5. Non-Promotional Subject Lines<\/h3>\n<p>This isn\u2019t so much a separate category as it is a common feature of all the previous types of subject lines.<\/p>\n<p>Regardless of whether your subject line is outrageous, simple, or personal, it should <strong>never sound promotional<\/strong>.<\/p>\n<p>A promotional tone is a surefire way to land your email in the spam folder. Absolutely nothing can save you if your subject line comes across as promotional.<\/p>\n<p>Avoid using words like: <em>free, congratulations, opportunity, business, extra, deal, proposition<\/em>, and so on.<\/p>\n<p>Stay tuned for the next post in this series, where we\u2019ll dive into what to include in the body of your email.
